How does w3copilot work without a bot?

w3copilot runs as a Chrome extension on your local machine. It captures audio directly from your browser tab, so there's no bot joining your call. Your meeting participants will never know it's there unless you tell them.

Is my data secure and private?

Absolutely. We're SOC 2 Type II certified with end-to-end encryption. Your transcripts are encrypted at rest and in transit. We never train AI models on your data, and you can delete your data at any time. We're also GDPR compliant.

Which meeting platforms are supported?

w3copilot works with Google Meet, Zoom, Microsoft Teams, Webex, and any other web-based meeting platform. If it runs in Chrome, w3copilot can transcribe it.

What languages do you support?

Can I share transcripts with my team?

Yes! Pro and Enterprise plans include team collaboration features. You can share transcripts, add comments, highlight important moments, and assign action items to team members.

What about integrations?

We integrate with Notion, Slack, Google Docs, Microsoft Office, Salesforce, HubSpot, and more. You can automatically sync meeting notes to your favorite tools. Custom integrations are available on Enterprise plans.

Do I need to record my meetings?

No. w3copilot transcribes in real-time without recording. The audio never leaves your device during transcription. Only the text transcript is saved to your account.

What happens if I exceed my plan limits?

On the Free plan, you'll be notified when you're close to your 10 meeting limit. You can upgrade to Pro anytime for unlimited meetings. There are no surprise charges or overages.

Terms of Service – W3copilot

1. Agreement to Terms

These Terms of Service ("Terms") govern your access to and use of the w3copilot Chrome extension, website, and related services (collectively, the "Service") operated by w3copilot ("we," "us," or "our").

By creating an account, installing our Chrome extension, or otherwise accessing the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

If you are using the Service on behalf of an organization, you represent and warrant that you have authority to bind that organization to these Terms.

2. Description of Service

w3copilot is an AI-powered meeting transcription tool delivered as a Chrome browser extension. The Service provides:

Real-time meeting transcription for Google Meet, Zoom (web), and Microsoft Teams (web)
AI-generated meeting summaries, action items, and coaching insights
Transcript search, sharing, and export capabilities
Integrations with third-party productivity and CRM tools

The Service operates within your browser without joining meetings as a visible bot participant.

3. Account Registration

To use certain features, you must create an account. You agree to:

Provide accurate, current, and complete information during registration
Keep your account credentials confidential and secure
Notify us immediately of any unauthorized use of your account
Accept responsibility for all activities that occur under your account

We reserve the right to suspend or terminate accounts that violate these Terms or remain inactive for extended periods.

4. Subscription and Payments

Free Tier:

We offer a free plan with limited features as described on our pricing page. We reserve the right to modify free tier limits at any time.

Paid Plans:

Paid subscriptions are billed in advance on a monthly or annual basis through our payment provider (Razorpay). By subscribing, you authorize us to charge your payment method on a recurring basis.

Price Changes:

We may adjust pricing with 30 days' advance notice. Price changes take effect at the start of your next billing cycle.

Refunds:

We offer a 14-day refund for new paid subscriptions. After 14 days, payments are non-refundable. Annual subscriptions that are canceled mid-term will remain active until the end of the current billing period.

Cancellation:

You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. You retain access to paid features until then.

5. Acceptable Use

You agree not to use the Service to:

Record meetings without appropriate consent from all participants, as required by applicable laws (including two-party consent jurisdictions)
Violate any applicable local, state, national, or international law or regulation
Upload, transmit, or distribute malicious code, viruses, or harmful content
Attempt to gain unauthorized access to other users' accounts, our systems, or third-party services
Reverse engineer, decompile, or disassemble any part of the Service
Use the Service to harass, abuse, threaten, or discriminate against any person
Resell, redistribute, or sublicense access to the Service without our written consent
Use automated means (bots, scrapers) to access the Service beyond normal extension operation
Interfere with or disrupt the integrity or performance of the Service

We reserve the right to suspend or terminate accounts that violate these restrictions.

7. Intellectual Property

Our IP:

The Service, including its design, code, features, documentation, and branding, is owned by w3copilot and protected by intellectual property laws. These Terms do not grant you any rights to our trademarks, logos, or brand assets.

Your Content:

You retain ownership of all meeting transcripts, summaries, and other content generated from your meetings ("Your Content"). By using the Service, you grant us a limited, non-exclusive license to process Your Content solely to provide, maintain, and improve the Service for you.

Feedback:

If you provide suggestions, feature requests, or other feedback about the Service, we may use that feedback without obligation to you.

8. Third-Party Integrations

The Service may integrate with third-party platforms (Google Meet, Zoom, Microsoft Teams, Slack, HubSpot, Notion, etc.). Your use of these integrations is subject to the respective third party's terms and privacy policies. We are not responsible for the practices or content of third-party services.

9. Service Availability and Modifications

We strive to maintain high availability but do not guarantee uninterrupted access. We may:

Modify, suspend, or discontinue features with reasonable notice
Perform scheduled maintenance (with advance notice when possible)
Experience downtime due to circumstances beyond our control

We are not liable for any loss or damage resulting from service interruptions.

10. Limitation of Liability

To the maximum extent permitted by law:

The Service is provided "as is" and "as available" without warranties of any kind, whether express, implied, or statutory
We do not warrant that transcriptions will be 100% accurate, complete, or error-free
We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service
Our total aggregate liability for any claim arising from or related to the Service shall not exceed the amount you paid us in the 12 months preceding the claim
We are not liable for actions taken by you based on AI-generated summaries, action items, or coaching insights

11. Indemnification

You agree to indemnify, defend, and hold harmless w3copilot and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from:

Your use of the Service
Your violation of these Terms
Your violation of any recording consent laws
Your Content or its use by authorized recipients

12. Dispute Resolution

Governing Law:

These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles.

Informal Resolution:

Before filing any claim, you agree to contact us at [email protected] and attempt to resolve the dispute informally for at least 30 days.

Arbitration:

If informal resolution fails, disputes will be resolved through binding arbitration under the rules of the American Arbitration Association (AAA), except that either party may seek injunctive relief in court for intellectual property matters.

Class Action Waiver:

You agree to resolve disputes with us on an individual basis and waive any right to participate in class actions or class arbitrations.

13. Termination

We may suspend or terminate your access to the Service at any time if you violate these Terms or if we reasonably believe your use poses a risk to the Service or other users.

Upon termination, your right to use the Service ceases immediately. You may request export of Your Content within 30 days of termination by contacting [email protected]. After 30 days, Your Content may be permanently deleted.

Provisions that by their nature should survive termination will survive, including ownership, warranty disclaimers, indemnification, and limitation of liability.

14. Changes to Terms

We may update these Terms from time to time. Material changes will be communicated via email or in-app notification at least 30 days before they take effect. Your continued use after changes become effective constitutes acceptance.
